Position:    Parts Dispatcher/Counterperson

Reports to: Parts Manager 

Department: Parts

 

Position Summary:  The Dispatcher acts as the principal contact between the parts department and service technicians, pulls parts and prepare items for shipment, verifies accuracy of deliveries, and sends drivers to the appropriate locations to deliver parts in a timely manner. Provides customer satisfaction and maximize dealership sales.

Essential Duties and Responsibilities:  

  • Provides fast and courteous service to external and internal customers.
  • Answers the telephone, greets customers with a warm greeting and eye contact and receives customer orders, questions and requests.
  • Conducts regular daily, weekly and monthly inventories.
  • Confirms all items on a Repair Order are billed out correctly and on the correct lines. Thoroughness is essential!
  • Participates in regular training – internal and Manufacture required
  • Counts, weighs, measures items in incoming and outgoing shipments to verify information against bills of lading, invoices, orders and other records.
  • Determines method of shipment, utilizing knowledge of shipping procedures, routes and rates.
  • Selects containers and assembles if necessary
  • Packs items into containers, using the appropriate spacers, fillers and protective padding.
  • Secures container and applies proper shipping labels (Identify hazardous packages).
  • Post weights and shipping charges, affixes postage.
  • Unpacks and examines incoming shipments, rejects damaged items, records shortages and corresponds with shipper to rectify damages and shortages.
  • Ensures that outgoing shipments meet specifications.
  • Receives damaged or defective goods returned to establishment.
  • Receives unsold products returned by the Parts Driver.
  • Any other duties as assigned by management.

Education & Experience: 

Less than high school education; or up to three months related experience or training; or equivalent combination of education and experience.

Language Skills: 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals. Ability to write simple correspondence. Ability to communicate effectively with employees and to individual customers.

Reasoning Abilities: 

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.

Certificates, Licenses, & Registration: 

Current, valid driver's license and satisfactory Motor Vehicle Report (MVR)

Work Environment: 

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts and fumes or airborne particles. The employee is occasionally exposed to toxic or caustic chemicals, risk of electrical shock, and vibration. The noise level in the work environment is usually moderate.
